Privacy Policy

1. Introduction

DiscreetlyDriven ("we", "us", or "our") is committed to protecting your privacy and handling your personal data with discretion. This Privacy Policy explains how we collect, use, store, and protect information when you use our website, make a booking, or contact us about our premium chauffeur services in the United Kingdom.

We are the data controller for personal information processed through this website. If you have questions about this policy or your data, please contact us at info@discreetlydriven.co.uk.

2. Information We Collect

We may collect the following types of information:

  • Contact details: name, email address, and phone number when you book a journey, submit a contact form, or communicate with us.
  • Booking details: pickup and destination locations, travel dates and times, passenger numbers, vehicle preferences, special requests, and return journey information where applicable.
  • Payment information: online payments are processed securely by Stripe. In-person card payments are processed by Shift4. We do not store full card numbers on our servers; payment card data is handled by these providers in accordance with PCI-DSS standards.
  • Technical data: IP address, browser type, device information, and usage data collected through standard server logs and cookies where applicable.
  • Location data: when you use our booking tools, address and route information may be processed via Google Maps to calculate distances and pricing.
  • Vehicle location data: our fleet may be equipped with tracking technology. Location data from this technology is collected only in emergency situations and is not used for routine monitoring of journeys.

3. How We Use Your Information

We use your personal information to:

  • Process and manage bookings, including confirmations and journey coordination
  • Calculate pricing and provide quotes based on route and service requirements
  • Process payments and issue receipts
  • Respond to enquiries submitted through our contact form or other channels
  • Send service-related communications, including booking updates and confirmations
  • Locate vehicles and respond to emergencies where vehicle tracking is activated
  • Improve our website, services, and customer experience
  • Comply with legal obligations and protect our legitimate business interests

4. Legal Basis for Processing

Under UK data protection law, we process personal data on the following bases:

  • Contract: to fulfil bookings and provide our chauffeur services
  • Legitimate interests: to operate and improve our business, ensure security, and communicate about your bookings
  • Consent: where you have given clear consent, such as for optional marketing communications
  • Legal obligation: where we are required to retain or disclose information by law

5. Sharing Your Information

We do not sell your personal data. We may share information only where necessary:

  • With assigned chauffeurs and operational staff to deliver your journey
  • With payment processors (Stripe for online payments, Shift4 for in-person card payments) to complete transactions
  • With service providers such as email and mapping providers who support our operations
  • Where required by law, regulation, or valid legal request

Third-party providers process data under their own privacy policies and applicable contractual safeguards.

6. Data Retention

We retain personal information only for as long as necessary to fulfil the purposes described in this policy, including completing bookings, resolving disputes, meeting accounting and legal requirements, and maintaining business records. Booking and payment records are typically retained for up to seven years where required for tax and legal compliance.

7. Data Security

We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or loss. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

8. Discretion, Confidentiality, and Vehicle Tracking

Discretion is central to our service. All of our chauffeurs have signed non-disclosure agreements (NDAs) and are required to keep client information and journey details confidential.

Vehicle tracking technology may be used solely in emergency situations — for example, where there is a safety concern, a vehicle breakdown, or an urgent operational need to locate a vehicle. We do not use vehicle tracking for routine journey monitoring or non-emergency surveillance. Any location data collected in these circumstances is used only to resolve the emergency and is retained no longer than necessary for that purpose.

For further details on how we handle discretion during service delivery, see our Terms of Service.

9. Your Rights

Under UK GDPR, you have rights including:

  • Access to the personal data we hold about you
  • Correction of inaccurate or incomplete data
  • Erasure of your data in certain circumstances
  • Restriction or objection to certain processing
  • Data portability where applicable
  • Withdrawal of consent where processing is based on consent

To exercise these rights, contact us at info@discreetlydriven.co.uk. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

10. Cookies

Our website may use essential cookies and similar technologies required for site functionality and security. Where non-essential cookies are used, we will provide appropriate notice and, where required, obtain your consent.

11. Third-Party Links

Our website may contain links to third-party websites or services (such as WhatsApp or payment providers). We are not responsible for the privacy practices of those third parties and encourage you to review their policies before providing personal information.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect any changes. Continued use of our website or services after changes are posted constitutes acceptance of the updated policy.
